C M Photography may be required to collect, process and store data which relates to its customers, for the business to carry out its duties. All information and data stored, is done so in accordance with the principles of the GDPR and Data protection Act 2018. The business may require changing its privacy policy/data protection procedures from time to time to continue to comply with updated legislations, the privacy policy/ data protection procedures undergo regular reviews.

What data we collect
When using C M Photography services, including the online gallery and website (provided by Pixieset) I collect and process the following information:
- Identity and contact data such as names, children’s names taking part in the session, email addresses, billing and delivery addresses, and phone numbers.
- Any medical issues that prevent/limit yours or anyone taking part in the sessions use of the service.
- For C M Photography to provide the best possible experience and service, we ask for personal information from the participants of the photography session such as personality traits and likes/dislikes and ages to be able to engage in flowing conversations and engagement.
- Names, personality traits, allergies, medical issues of any pets taking part in a photography session will be collected.
- Transaction data – such as details of purchases/orders and payment information that is processed securely via a third-party provider.
- Photography consents as well as photographs and video footage that may include identifiable individuals (adults and children)
- Marketing data – Preferences for receiving marketing communication.
How we collect your data
We collect data when:

· Attend events or photography sessions

How is the collected data used
The information collected is primarily used to provide you the services you require and to support C M Photography in operating the services and business. We use your data for the following purposes:
• C M Photography also uses the collected data to analyse the websites performance and measure the usage of features. Please visit the cookie policy for more detailed information.
• To process and fulfil orders.
• To communicate with you about bookings and enquiries.
· To deliver photography services.
· To manage payments and accounts.
· To send marketing communications if you have previously consented to be emailed with upcoming events/promotions etc then your email address will be used for this purpose.
• C M Photography uses the completed consent forms as required evidence for using individuals’ images as stated within the consent form.

Use of photographs/ video footage
As a photography business, we may capture and use images that include identifiable individuals including children. Where required, we will obtain your consent before using any images for promotional purposes. You can withdraw your consent at any time by contacting us.

• Delivering client work
• Portfolio (website, social media, print)
• Marketing and promotions
• Entering photography competitions or qualifications
How is your personal data stored/ protected
· At C M Photography your paper personal information (consent forms) is securely stored in a locked filing system on the C M Photography’s premises.
· Any electronic information received is securely stored on a password protected device, with an online security package in place.
· Client photo galleries that are present on the Pixieset online client gallery have the option of been private and password protected or public/present on the homepage, these preferences must be stated on the consent form completed prior to the photography session.
· C M Photography uses external platforms such as Pixieset, Face book, Instagram and mailchimp and they have their own privacy policy in place for collection of personal information.
Data retention
We retain personal data only as long as necessary:
• Order and financial records – up to 6 years
• Client communications – data will be kept for up to 5 years unless you’re a returning client, with every new booking the clock resets back to zero. If you’ve opted in for ongoing marketing your data will be retained for as long as there is active engagement. Inactive customers data will be delated after 5 years, but you may receive a consent refresher before that time is up.
• Images /video footage – any images and video footage that we have received consent to use will be kept for as long as we hold and use them actively for the promotion of the business alongside their relevant signed consent forms. Your consent can be removed at any point.
Sharing your data
We may share your data with:
• Payment processors such as Stripe
• Printing labs and delivery couriers
• Professional advisers (Accountants)
We only share data necessary for the relevant purpose and ensure appropriate safeguards are in place. We never sell personal data to third parties.
